Buyer and Order Ownership

Overview

Ownership lets you assign a defined point of contact to each buyer and order in the Capchase App. The owner is the vendor sales representative managing that deal. They receive all related notifications and can view the record when accessing the App.

Ownership is available at both the buyer and order levels.

Ownership

An owner is the assigned point of contact for a specific buyer or order. Assigning an owner makes accountability clear: there is one named person responsible for the deal, and that person becomes the recipient of all activity notifications tied to it.

Assigning and Changing Ownership

You can assign or change ownership directly from the App at the buyer or order level.

  • Buyer ownership — sets the POC for the buyer record overall.

  • Order ownership — sets the POC for an individual order.

When you transfer an order or buyer from one owner to another (or from no owner to a named user), the new owner immediately takes over visibility and notifications for that record.

Notifications

Once an owner is assigned, all notifications previously sent to the buyer or order creator are now sent to the owner instead. This includes communications such as Payment Link sent, PO emails, and other order-related updates.
